Remote Booking

Remote Booking is built for the way mobile and ambulatory practice actually works. General booking tools capture the client's details and drop a slot on a calendar, which is fine for a fixed clinic but creates chaos on the road. Remote Booking solves the arrangement problem, as it turns the day into an ordered route.

Remote Booking works for house-call and mobile general practice, ambulatory and farm work, and mobile specialists who travel to perform specialty appointments inside other clinics.

Where Remote Booking is Located

Click Booking in the main sidebar. The Booking area opens with four tabs across the top:

When a client or business submits a booking through your portal, it lands in Online Requests for your team to act on. Each request appears as a full card.

Sorting and search: Sort by Created At with an Ascending/Descending toggle, and a Search Here field to find a request by name or detail.

Each card has four actions:

Choosing the calendar category on confirm

When you click Confirm, a Select Category dialog opens with a Category dropdown (defaults to Online Booking). Pick the calendar column the visit should live in, then click Confirm. This is how a remote visit gets placed into the right column in your Calendar's Category view, exactly like any other appointment.

My Appointments: the day as a route

This is where Remote Booking earns its place. My Remote Appointments shows your remote visits for a chosen date range, arranged in the order you'll actually drive them, with a live map and driving times between stops.

Date range and search: Pick a range with the date selector (e.g., 2026-07-20 - 2026-07-24) and use Search Here to find a specific stop. When the range covers several days, each day appears as its own collapsible section (an accordion), one after another.

Reading a day

Each day is a section with a header showing the day, date, and stop count (e.g., "Wednesday, 22 July, 4 stops"). Inside, the visits are listed in route order, numbered 1, 2, 3, 4:

  • Each stop shows its time, a Business Booking badge (when it came from a business), and the Clinic / Client / Patient / Type for the visit.
  • Between each stop sits a travel chip showing the driving time and distance to the next one (e.g., "20.7 Min Travel Time · 20.936 km").
  • View (eye icon) and Edit (pencil icon) sit on each stop for quick access.

The route map and summary

On the right, a Google map plots the day's stops as numbered pins in driving order, with the route drawn between them. Below the map, a Route Summary totals the day:

The All Appointments tab shows the same route-ordered view across every provider in the clinic, so a practice manager can see the whole mobile operation for a date range in one place.

How AI arranges the day

The order of stops isn't random and it isn't just "nearest first." Remote Booking learns how you like to run your day and offers slots that fit that pattern.

  • When a client or business requests a visit, the AI offers customized time slots arranged around that location and your existing route for the day, accounting for driving time and typical traffic at that hour.
  • Over roughly the first 30 to 60 days, the AI learns your preferred working pattern: some vets like to start with the farthest appointment and work back toward home or the clinic; some prefer to start close and push outward; some prefer to leave stops in the order they were booked. As the pattern becomes clear, the offered slots get sharper.
  • The goal is a smooth working day with less driving and a predictable finish time, the vet gets home sooner, and the day stops zig-zagging across the map.

AI offers and arranges; you stay in control. Use Assign To, Change Time, and the per-stop Edit to adjust any visit at any point.

The patient record comes in as a real patient

During booking, the client or business can upload the pet's previous records. Instead of leaving that as a PDF attachment you have to read on the road, viggoVet's AI imports it into the platform as a full patient profile. That means you can summarize it, review history, and work on the patient exactly like any other record in viggoVet, not a document sitting to one side. See AI Patient Profile Summary.

After the visit: invoicing and online payment

After a remote visit, you create the invoice from the visit as you normally would. The client or business sees their invoices in their portal (under Invoices & Payments) and, if your clinic has the Stripe integration active, can pay online directly. See Online Payment and Integrations Overview.

What clients and businesses see

Clients and partner clinics book through their own portal, covered in full on the Online Booking page, including the four-step booking flow and the business dashboard. In short, they choose the visit location on a map, pick an available provider (only providers who cover that area appear), choose a day and time from the offered slots, and enter the pet and client details, optionally uploading previous records for AI import.

What to do if something goes wrong

A day shows no stops or no map. Confirm you've selected a date range that contains remote visits, and that the visits were confirmed (not still sitting in Online Requests). Use the date selector to widen the range.

A request has no provider or the wrong one. Use Assign To on the request card in Online Requests to set the correct provider before confirming. Only providers marked available for remote booking and covering that area can take the visit.

The route order doesn't match how I like to work. The AI needs roughly 30 to 60 days to learn your pattern. In the meantime, use Change Time and per-stop Edit to arrange the day, and the AI will learn from those choices.

Driving times look off. Driving time and distance are estimates based on the stop locations and typical traffic. Open the Address in Google Maps from the request card to verify the exact location if a stop seems wrong.

A confirmed visit isn't in the right calendar column. Check the category you chose in the Select Category dialog when confirming. Open the appointment from the Calendar and use Edit to change its category.

A client can't find a provider when booking. No provider is marked available for that area, or the location is outside every provider's radius. An administrator sets provider availability, base location, and radius in Administration and Settings > Remote Booking Configuration.
