Calendar Overview

Your clinic's daily schedule in one view. See every appointment, provider, and category at a glance.

The calendar is where your day takes shape. Every appointment, every provider's availability, and every time slot lives here. You can view the schedule by provider, by category, by week, by month, or as a flat list. The calendar is available on all viggoVet tiers.

Opening the calendar

Click Calendar in the main sidebar under the DASHBOARD section. The calendar page loads with your clinic's schedule for today.

Booking lives in its own area. Client-facing bookings (online requests and remote/mobile visits) are managed under Booking in the sidebar, which has its own tabs, Client Appointments, Online Requests, My Remote Appointments, and All Remote Appointments. Page layout

The top of the calendar page has a row of controls:

Views appointments on the calendar by days, a week or a month

Calendar views

Provider view

Set Show By to Providers. Each provider in your clinic becomes a column header across the top (e.g., James Albert, Michael Gerges, Mona Ayman, Panos Antonios, Dr Siga, Lauren France, Halabr E, OSC Homes). Time slots run down the left side.

White areas mean the provider is available. Hatched/striped diagonal areas mean the provider is off-hours (not scheduled to work during that time block). A dark red horizontal line marks the current time so you always know where you are in the day.

Use the All Providers dropdown (appears when in Provider view) to filter to a specific staff member or see everyone at once. This is the best view for finding who has open slots.

Category view (Day)

Set Show By to Categories. Each appointment category becomes a column header (Emergency, Consult 01, Consult 02, Online Booking, Surgery, Cancelled, New Category, etc.). Time slots run down the left side. Appointments appear as colored blocks in their assigned category column.

This view shows how work is distributed across your consultation rooms, workflow steps, or whatever your categories represent.

Week view

Click Week in the view toggle. The calendar shows seven days (Sun through Sat) as columns, each with the abbreviated day and date (e.g., "Sun 2/1", "Mon 2/2"). Appointment blocks sit in their time slots across the week.

This is helpful for spotting scheduling gaps or planning ahead.

Month view

Click Month in the view toggle. A traditional monthly grid appears with Sun through Sat columns. Each day cell shows appointments as small text entries with the patient name and owner. When a day has more appointments than can fit, a "+3 more" link appears (the number changes based on how many are hidden).

Click any day to drill into its detail view.

Agenda view

Click Agenda in the view toggle. Appointments display as a vertical list grouped by date. Each appointment card shows:

  • Time and duration (e.g., "30 Min")
  • Category name
  • Patient name with the owner's name in parentheses
  • A status badge

Status badges use colors to communicate state:

Time scale

The time scale controls how granular your time grid is in Provider and Category views. The current value displays in orange/red text (e.g., "15 M"). Click it to switch between options:

  • 5 M (5 minutes): Maximum detail, good for clinics with very short appointments
  • 15 M (15 minutes): Standard for most practices
  • 30 M (30 minutes): Less visual clutter, good for longer consultation types
  • 60 M (60 minutes): Suitable for surgery and patients with serious problems

The time scale only affects Provider and Category day views. Week, Month, and Agenda views have their own fixed layouts.

Filtering appointments

By status

The filter tabs across the top of the calendar let you focus your view:

By category

The Categories dropdown filters the calendar to a specific appointment category. Set it to All Categories to see everything. This is useful when you want to focus on one room or service type without switching to Category view.

By provider

In Provider view, the All Providers dropdown lets you filter to a single provider or keep all visible.

Appointment card popup

Click any appointment block in the calendar. A popup card appears with full details.

Header: "Appointment Details" with the date and time range (e.g., "Feb 1, 2026 09:00 AM to 09:30 AM").

What to do if something goes wrong

Calendar appears empty: Check the Categories dropdown. You may be filtering to a category that has no appointments today. Reset to All Categories. Also confirm you're on the correct date by clicking TODAY.

Provider column is entirely striped: That provider has no scheduled working hours for this day. Their staff schedule needs to be configured in Settings. Ask your clinic admin to check staff schedules.

Appointments don't show in the expected column: The appointment's category determines its column in Category view. If an appointment was booked under the wrong category, click it and use Edit to change the category field.

Time slots look too cramped or too spread out: Change the Time Scale to match your typical appointment lengths. Most clinics work well with 15 minutes.

Can't find a cancelled appointment: Switch to the Cancelled Appointment filter tab. Cancelled appointments are hidden from the Active Appointment tab by default.
