Online Payment

Online Payment is a client-facing page where pet owners can pay your clinic directly through Stripe. Clients can pay outstanding invoices, add credit to their account, pay on behalf of another client, or make donations. The page is accessible at your clinic’s public URL and does not require a login.

This feature requires Stripe integration to be configured and active.

Online Payment is a complementary feature available on all viggoVet tiers that have Stripe integration active.

How it works

  1. A client visits your clinic’s online payment page (yourclinic.viggo.vet/online-payment/).
  2. They enter their personal details (name, email, phone number).
  3. They enter the amount to pay and an optional reference note.
  4. They complete payment through Stripe.
  5. The system matches the payment to an existing client account using the email address, or creates a new client record if no match is found.
  6. A credit note is generated with the client’s name, phone number, and reference note.
  7. The payment appears on the client’s Statement of Account (SOA).
  8. Staff members with the Invoice Payment notification toggle enabled receive an email notification.
  9. The client receives a payment confirmation email.

Accessing the Online Payment page

The Online Payment page is public. Share the link with clients via email, SMS, WhatsApp, or your website:

URL format: yourclinic.viggo.vet/online-payment/

Replace “yourclinic” with your clinic’s subdomain.

The email address is the primary identifier. If the email matches an existing client in your system, the payment is linked to that account. If no match is found, a new client record is created.

The reference note and client details appear on the credit note and the account SOA. This helps your team track what the payment was for.

Account matching

The email address is the primary identifier for matching payments to client accounts:

Payment is added to that client’s account as a credit

A new client record is created with the provided name, email, and phone

Client pays for someone else

If they use a different client’s email, the credit goes to that client’s account

What happens after payment

  1. Credit note created: A credit note is generated on the matched (or newly created) client account with the client name, phone number, and reference note.
  2. SOA updated: The payment appears on the client’s Statement of Account.
  3. Staff notification: All staff members with the Invoice Payment notification toggle enabled receive an email about the payment.
  4. Client confirmation: The client receives a payment confirmation email.
  5. Stripe dashboard: The payment appears in your Stripe dashboard like any other transaction.

Client pays and notes the purpose in the reference field

Sharing the payment link

You can share your online payment link:

  • On your clinic website
  • In email or SMS invoices as a “Pay Online” link
  • In WhatsApp or Telegram messages to clients
  • On social media or printed materials with a QR code

Prerequisites

For Online Payment to work:

  1. Stripe integration must be configured and active (Configurations > Integrations > Stripe)
  2. API keys (publishable and secret) must be entered
  3. Webhook must be configured in your Stripe dashboard with the correct endpoint and signing secret
  4. The required Stripe webhook events must be selected (see Integrations documentation)

What to do if something goes wrong

Payment page not loading: Verify that Stripe integration is active in Settings > Configurations > Integrations. If Stripe is not configured, the payment page will not function.

Payment completed but not appearing in viggoVet: Check that the Stripe webhook is correctly configured. The webhook endpoint must match exactly, and all required events must be selected in your Stripe dashboard. Check the Failed Log tab in the Stripe integration settings.

Payment assigned to wrong client: The system matches by email address. If the client entered a different email than what is on their account in viggoVet, the system either created a new client or matched to a different account. You can transfer the credit between accounts using the credit transfer feature.

Client didn’t receive confirmation email: Verify that the client entered a valid email address. Check your email communication channel is active in Settings > Configurations > Overview.

Staff not receiving payment notifications: Check that the staff member has the Invoice Payment toggle enabled in their Staff Clinic Notification settings (Settings > Configurations > Overview, Staff Edit section).
