When a client pays for services, you record the payment against one or more open invoices. viggoVet supports split payments across multiple methods, partial payments, and payments using client credit balances.

Two ways to record a payment

From the invoice

  1. Open an invoice from the Invoice List.
  2. Click Pay in the action bar.
  3. The Pay Invoice modal opens pre-filled with the invoice total.

From the client’s Billing tab

  1. Open the client’s profile and go to the Billing tab.
  2. Click the Payments sub-tab.
  3. Click Add Payment (top right).
  4. The Add payment page opens, showing all open invoices on the right side for you to select which ones this payment applies to.

Pay Invoice modal (from invoice)

The Pay Invoice modal shows:

Header: “Total Payments” with the invoice total and currency (e.g., “Total Payments 251.05 USD”). Below that, a note showing the client’s available credit balance (e.g., “There is a client credit of 0 USD”).

Payment #1 section:

Footer: + More Payment button: Click to add a second (or third, fourth) payment entry to split the total across different methods.

Remaining: Shows how much is left to pay (displays 0 when fully covered).

Buttons: Cancel, Save

Splitting a payment

Click + More Payment to add another payment block. Each block has its own Amount, Paying By method, and Due date. For example:

  • Payment #1: 200 USD via Credit Card
  • Payment #2: 51.05 USD via Cash

The total of all payment blocks should equal the invoice amount. The Remaining counter at the bottom updates as you fill in amounts.

Paying with client credit

If the client has a credit balance, the Pay Invoice modal shows it in green text (e.g., “There is a client credit of 1,725 USD”).

To use credit:

  1. Toggle the Client Credit switch on for that payment entry.
  2. The Paying By dropdown changes to show available credits (e.g., “Credit #25 (1000USD)”, “Credit #29 (400USD)”).
  3. Select which credit to apply.
  4. Set the amount to use from that credit.

You can combine credit with other payment methods by adding more payment blocks.

This full page view is designed for recording payments against multiple invoices at once.

An info box below the fields reminds you: “Specify from the corresponding column the invoices to which you want to enter this value. You can select all invoices if you want to distribute the amount among all of them.”

Check the invoices you want this payment to apply to. If you select multiple invoices, the payment amount is distributed among them.

Footer: Total invoice amount, Total active payment, Total inactive payment, Balance. Cancel and Confirm buttons.

Payment history

On the client’s Billing tab, the Payments sub-tab shows a Payment List table:

What to do if something goes wrong

Payment amount exceeds invoice total: The excess creates a credit on the client’s account automatically. You can see it in the Credits tab.

Wrong payment method selected: Delete the payment from the Payment List (trash icon) and re-record it with the correct method.

Payment not showing on invoice: Check that you selected the correct invoice when recording the payment. Go to the client’s Payments tab to see which invoice it was applied to.

Client credit not appearing in the Pay modal: The credit must be in active status. Check the client’s Credits tab to confirm the credit exists and has a balance greater than zero.

Cannot delete a payment: This action requires specific permissions. Contact your administrator if you need to reverse a payment.
