Account Statements

An account statement (SOA) is a summary of all financial transactions between your clinic and a client over a specific period. It shows invoices issued, payments received, and credits applied, giving both you and the client a clear picture of the account history.

Accessing account statements

  1. Open the client’s profile.
  2. Go to the Billing tab.
  3. Click the Account Statement sub-tab.

The page shows:

  • Date range picker
  • Export excel and PDF options
  • Generate statement using AI

The statement generates based on the date range you select. Change the dates and the statement updates automatically.

While viewing the Account Statement, the top bar continues to show the client’s financial summary:

Total amount invoiced for the client

Total amount credited to the client

Closing balance


This sidebar context helps you understand the client’s overall financial position while reviewing the statement.

What the statement includes

The exported statement contains:

  • All tax invoices and proforma invoices within the date range
  • Payments recorded against those invoices
  • Credits applied during the period
  • Running balance calculations

Estimates are not included in the statement because they do not affect the client’s actual account balance.

Multi-clinic statements

If your clinic has multiple branches, the sidebar shows separate totals per clinic (highlighted in orange for your current clinic). The statement can be filtered to a specific branch or show all branches together, depending on your clinic configuration.

What to do if something goes wrong

Statement appears empty: Check the date range. Make sure the Start date is before the End date, and that invoices exist within that period.

Missing invoices from statement: Only tax invoices and proforma invoices appear. Estimates are excluded by design. Also verify the invoice dates fall within your selected range.

Export not downloading: Check your browser’s download settings. The file generates on the server and sends to your browser as a download. Try the other format (Excel vs PDF) if one is not working.

Totals don’t match your calculations: The statement includes all proforma invoices in the balance. If you have proformas that should not count, consider converting or removing them.
