Treatment Plans

When a patient is admitted to your clinic, they need ongoing care: medications at specific times, vital checks every few hours, feeding schedules, and assigned tasks for your team. The Treatment Plans page gives you an hourly grid where you schedule all of this and track what’s been completed, what’s coming up, and what was missed. It connects directly to the Status Board, so any patient who is checked in appears here.

Accessing Treatment Plans

Click Treatment Plans under CLINICAL in the main sidebar. You can open the Status Board to check on your patients’ status after accessing the treatment plans for best information allignment.

Filter by day from the calendar button or use the arrows beside it to switch between days. Search for a specific patient’s treatment plan from the search

Patients List view

The Patients List is the first thing you see when you open Treatment Plans. It shows every patient currently checked into the clinic with their scheduled care tasks on a timeline.

Header controls

At the top of the page:

  • Date header with the current date (e.g., “Wed, April 8, 2026”), a calendar icon to pick a different date, a TODAY button to jump back to today, and left/right arrows to move one day at a time
  • Color legend (top-right): Schedule (brown/orange dot), Missed (red dot), Completed (blue/dark dot)

Patient cards (left side)

Each checked-in patient appears as a card on the left side of the list. The card shows:

To the right of each patient card, a horizontal timeline shows hours across the day (e.g., 11AM through 11PM, scrollable). Scheduled tasks appear as small numbered boxes in the time cells. For example, a gold/orange bordered box with a scissors icon and “1” means one scheduled task at that hour.

Click on any time box on the right of a treatment plan to record a task and the applied days. The task and provider are required fields

The color of each marker tells you its status:

Individual patient page

Click any patient card in the Patients List to open their individual Treatment Plan page. This is where you manage their full daily care schedule.

Patient header

At the top of the page:

  • Patient avatar and name (e.g., “Coco”)
  • Status badge dropdown (e.g., “In Surgery”). Click it to change the state to “In Patient” or “Checked Out” without leaving the page.
  • Patient info bar: breed, sex/spay status, age, and owner name separated by | pipes

Date navigation

Below the buttons, you see the current date (e.g., “Sun, May 10, 2026”) with a calendar icon, TODAY button, and left/right arrows. Use these to view past or future days for this patient.

Scheduling Activities grid

This is the core of the Treatment Plan. A grid with hourly columns across the top (12AM, 1AM, 2AM… through 11PM) and category rows down the left side. A dark red/brown vertical line marks the current time so you can see where you are in the day.

The rows are organized into collapsible sections:

Each section shows a count in parentheses (e.g., “VITALS (6)”) and can be expanded or collapsed by clicking the section header. Each section also has a + button to add new items.

Creating an activity (scheduling a task)

To schedule a medication, vital check, care activity, or task at a specific time:

  1. Click any empty time slot cell in the row you want. For example, click the 10PM cell in the “Heart Rate” row.
  2. The Create Activity modal opens.

Treatment working days

Checkboxes for each day of the week (Saturday, Sunday, Monday, Tuesday, Wednesday, Thursday, Friday). Check the days this task should repeat.

  1. Fill in the fields.
  2. Click Save.

The task appears as a marker in the appropriate time slot on the grid. If you set it to repeat on multiple days, it will appear on each selected day between the start and end dates.

Adding items to each section

Medications

Click the + button next to the MEDICATIONS section header. This opens the same Create Treatment modal with the type pre-set to Medication. Select the medication, set the dosing times, assign staff, and choose the working days.

Vitals

Click the + button next to the VITALS section header, or click directly on a time slot in an existing vital row. Select the type of vital (Respiratory, CRT, Heart Rate, Temperature, Weight) and schedule it.

Patient Care

Click the + button next to the PATIENT CARE section header. The available care types (e.g., Water, Feed) are configured by your admin in Settings > Configurations > Care Types.

Tasks

Click the + button next to the TASKS section header. Tasks are custom to-do items your team needs to complete for this patient (e.g., “Send Consent Form,” “Prepare For Checkout,” “Call owner with update”).

Configuring Care Types

The care activities available in the PATIENT CARE section come from your clinic’s configuration.

  1. Go to Settings > Configurations > Care Types.
  2. You see the “Care Type List” page with ID, Name columns, and Actions (edit/delete).
  3. Click Add Care Type.
  4. In the modal, type the Name (e.g., “Water,” “Feed,” “Turn Patient,” “Physical Therapy”).
  5. Click Submit.

The new care type is now available when creating treatment plans for any patient.

Change Room modal

When you click Change Room on the patient’s Treatment Plan page:

  1. The Change Room modal opens.
  2. Select a room from the Room dropdown (e.g., “Isolation”).
  3. Click Save.

The patient’s room assignment updates on both this page and the Status Board.

How Treatment Plans connect to the Status Board

Treatment Plans and the Status Board work together:

  • Any patient checked in via the Status Board (or Calendar) automatically appears in the Treatment Plans Patients List.
  • Changing a patient’s state on the Treatment Plan page (via the status badge dropdown) updates the Status Board.
  • Changing a patient’s room on the Treatment Plan page updates the Room Board tab on the Status Board.
  • When you check a patient out from either location, they leave both the Status Board and the Treatment Plans Patients List.

What to do if something goes wrong

A patient does not appear in the Treatment Plans Patients List. Confirm they are currently checked in. Only patients with an active status (Out Patient, In Patient, or In Surgery) appear in the list. Checked-out patients are removed.

You scheduled a task but it does not show on the grid. Check the date. Use the date navigation arrows or the TODAY button to confirm you are viewing the correct day. Also check the Treatment Working Days checkboxes to make sure the current day of the week is selected.

 A task shows as “Missed” (red) but it was completed. Click the task marker to open its details and mark it as completed. Missed status means the scheduled time passed without someone recording completion.

 You cannot find the care type you need (e.g., “Physical Therapy” is not an option). Ask your admin to add it in Settings > Configurations > Care Types. Only pre-configured care types appear as options.

 The Change Room modal shows no rooms in the dropdown. Rooms must be configured in your clinic settings. Contact your admin to add rooms in Settings > Configurations.

You want to delete a scheduled treatment. Click the task marker on the grid to open its details, then look for the delete or remove option.
