Patient Profiles

A patient profile holds the complete picture of an animal under your care. It connects medical records, appointments, invoices, documents, and vitals into a single view. This guide covers every section of the Patient Details page so you know where to find what you need.
Opening a Patient’s Profile
- In the main side bar, under “Accounts, click on “patients”
- Search for the patient using the global search
- Click on the patient’s row in the table to open the patient’s details
OR
- Open the client’s profile and click the patient’s card on the Patients tab.
- The Patient Details page opens.
Page Layout
The Patient Details page has a left sidebar with key information and a row of tabs across the top of the main content area.
Top header
The top header stays visible as you switch between tabs, and it has:
- Patient’s photo (with optional emoji sticker overlay)
- Patient’s name (e.g., “Coco”)
- Status dropdown button with three options: Active, Inactive, Deceased
- Patient no. (e.g., “Patient no. 4533”)
- Species, breed, sex and age of the patient
- Chip number
- Owner name below the patient name (clickable, opens the client profile)
- Last patient visit
PATIENT DETAILS section (collapsible):
Field (collapsible) | Description |

Latest appointment | Reason of visit, start and end of visit, state of visit (e.g.: in surgery) |
Owner | Owner’s name, phone number, location, and an additional note |
ALERTS section: Shows alert tags (e.g., “Very Sensitive”) with an X to remove each one. Click the + button to add a new alert. These alerts display prominently so the team sees them immediately when opening the profile.
DIETS section: Shows diet tags (e.g., “Eating Kidney, Dry Food”) with an X to remove each one. Click the + button to add a new diet entry.
Three-dot menu (top-right of the sidebar): Edit, add alert, add diet, export, print, merge and delete.
AI Patient Profile Summary
The Summarize Profile button (next to Add Record) generates a complete clinical summary by having the AI process all medical history, labs, documents, images, and attached files on the profile. The summary covers signalment, active problems, current medications, alerts, recent vitals, labs, and history. It is marked with the date and time of generation. Tab Row
Below the top header, there are 11 tabs with different functions. When one of the tabs is clicked on, it shows its contents in the common area.The tabs’ list:

The 11 tabs in detail:
Overview:
The Overview tab is covered in detail in the Patient Medical Records guide. In short, it displays all clinical records in reverse chronological order with filters by record type, a date range picker, and the Add Record button.
You can view the pet’s medical master problem, problem, diagnosis, diagnostic details, prescription, lab results, fees and vaccination details. These can be viewed separately or grouped together by clicking on more than one sub-tab
Appointments:
This tab lists every appointment (past and upcoming) for this patient.
Controls: Sort by dropdown, Search field, Create new button (top-right).
Each appointment card shows:
- Date and time (e.g., “21/01/2026 7:45 PM”)
- In/Out times
- Status badge (confirmed, not confirmed, checked in, checked out)
- Clinic label (e.g., “By Clinic 2”)
- “Reason for the appointment:” followed by the reason text
- Edit icon (pencil)
- + icon (to add a medical record linked to that appointment)
Note: Click the + icon on any appointment to open the Add Record modal with that appointment pre-linked.
Owners:
The Owners tab lets you manage shared ownership when a patient has more than one owner. This is covered in detail in Multi-Owner Patients. You can add additional owners, set a primary owner, or transfer ownership entirely.
Reminders:
Reminders are scheduled alerts for future care (e.g., vaccine boosters, diet reviews, follow-up visits).
Controls: Sort by Created At, Ascending toggle, Search field, Create new button.
Each reminder entry shows: name, patient name, due date and time, type badge (Vaccine, Diet, etc.), Added at date, edit and delete icons.
Creating a new reminder:
Click Create new to open the “New reminder” modal:

Click Save to create, or Cancel to discard.
Vitals:
The Vitals tab is covered in detail in the Patient Vitals guide. It shows all configured vital types in collapsible groups (Essential, Specialty, Respiratory) with value inputs, trend charts, and the Save All Record button.
Internal Staff Comments:
This tab works identically to the Notes tab on the client profile. It’s titled Internal Staff Comments.
Controls: Sort by Created At, Ascending toggle, Search field, Create new button.
Important: Anything written here is NOT included in patient exports. These comments are strictly for internal team communication (e.g., “Owner is anxious about anesthesia, take extra time to explain” or “Aggressive when ears are touched”).
Creating a new comment:
Click Create new to open the “New comment” modal:

Click Save to create, or Cancel to discard.
Invoices:
Invoices and Billing available in the Enterprise Plan.
This tab lists every invoice where this patient appears as one of the billed animals.
Filter tabs: All Invoices, Proforma Invoices, Open Invoices, Closed Invoices, Paid Invoices, Estimates.
Controls: Date sorting, Descending toggle, Search field, Add Invoice button, Add Estimate button.
Table columns: ID, Client, Net Total, Total Tax, Total Discount, Total, Date, State (badge), Created by, Actions.
Note: If a single invoice covers multiple patients (e.g., two pets seen in one visit), that invoice appears on both patients’ tabs.
Documents & Attachments:
This tab has two sections, just like the client profile.
Documents section
Documents are generated from templates (consent forms, surgical consent, discharge summaries).
Controls: Create new button, Sort By dropdown, Search field.
Table columns: Document Name, Created By, Type (e.g., “General”), Clinic Name, Date, Actions (share and delete icons).
Attachments section
Attachments are uploaded files (X-ray images, referral letters, photos, etc.).
Controls: Created at sort, Ascending toggle, Upload button.
Files appear as cards showing filename or thumbnail and upload date.
Creating a document
Click Create new to open the “Create Document” modal:
Select the document template; consent form or patient temp, and it’s going to be generated automatically.
Click Create to generate, or Cancel to discard.
Labs:
The Labs tab stores laboratory results for this patient. It’s covered in detail in Patient Labs. Results can be entered manually or received electronically from integrated lab providers. Create a record manually or press on “Import lab report” to use our latest AI feature to upload a lab file, and the tool creates it automatically.
Treatment Plan:
The Treatment Plan tab is used during check-in and check-out to manage active treatment items for the current visit. It helps by providing current medical information about the animal. You can create a new medical record for relevant treatment or edit patient information. This is covered in the Check-in and Check-out guide.
Dental Chart:
The Dental Chart tab provides a visual dental mapping tool. This feature is covered in detail in the Dental Chart, including the advanced Clinical AI features.
Warning: Deleting a patient removes all linked medical records, invoices, and documents. If a patient has passed away, change their status to Deceased instead of deleting.
Changing Patient Status:
Click the status dropdown in the left sidebar (below the patient name) to change it:
Status | Meaning |
|---|---|
Active | Default. Patient appears in all searches and appointment flows. |
Inactive | Hidden from quick searches. Use when a patient transfers to another clinic. |
Deceased | Marks the patient as deceased. Record remains accessible for historical reference. |
What to do if something goes wrong?
Patient not appearing in search: Check the patient’s status. Inactive patients don’t appear in standard searches. Use the global search with no filters or open the client profile to find them.
Owner name links to wrong client: This can happen if the patient was merged or reassigned. Check the Owners tab to confirm the primary owner is correct.
Cannot add a record from the Appointments tab: Make sure you click the + icon on the appointment card. If you don’t see it, you may lack the required permissions. Contact your administrator.
Export missing internal comments: This is by design. Internal Staff Comments are never exported. Use the Documents tab for records you need to share externally.
Alerts or diets not saving: Make sure you press Enter or click the confirm button after typing the tag. If the section doesn’t expand, click the chevron to open it first.
