Patient Medical Records

The Overview tab on a patient profile is where all clinical records live. Every diagnosis, medical note, prescription, vaccine, lab result, and procedure appears here in one chronological list. This guide shows you how to read the records view, filter by type, and manage existing entries.

Opening the Overview Tab:

  1. From the main bar, under “accounts”, open “patients”
  2. Open the patient’s profile
  3. Click the Overview tab (it’s the first tab in the row, so it’s usually already selected).

Page Layout:

The Overview tab shows:

  • Filter row: Icon-based tabs for All, Diagnosis, Problems, Medical Note, Prescription, Vaccine, Labs, Other
  • Date/Time filter: Narrow records to a specific date range
  • The Funnel filter to sort the records by a specific date or show records only linked to an appointment
  • Add Record button (dark, top-right)

Below the filters, records are listed chronologically with the newest first.

Reading a record entry

Each record in the list shows:

Type badge

Color-coded label identifying the record type (e.g., “Diagnostic Record” in orange/red, “Medical Note Record” in green)

Title

The name given when the record was created

Details

For medical notes, the content text is visible (SOAP format headings like SUBJECTIVE, OBJECTIVE may appear)

Diagnosis Column

Linked diagnosis if applicable

Added by

Provider who created the record

Actions

Export, edit and delete icons

Medical notes show a preview of their content directly in the list. You can see SOAP headings, key findings, and the provider’s name and clinic without needing to open the full record.

Filters for Records

Click any icon tab in the filter row to show only that category:

Filter by Date Range

Use the Date/Time filter to narrow records to a specific period. This is helpful for reviewing what happened during a particular week or visit series.

Filter by Record Type Dropdown

The Record Type dropdown provides the same filtering as the icon tabs in a standard dropdown format. It defaults to “All” and lists every record type available.

You can combine the date filter with a type filter. For example, set the date range to the last 30 days and select “Vaccine” to see only recent vaccinations.

Record Types and their Meaning

viggoVet supports the following record types:

Each type gets its own color-coded badge so you can scan the list quickly.

Adding a Record

Click Add Record in the top-right to open the Add Record modal. The creation process is covered in full in the Creating a Medical Note guide. The same modal handles all record types; just select the appropriate type from the Record type dropdown.

Quick summary of the Add Record modal fields:

  • Record type: Select from the dropdown
  • Name: Short name for the record
  • Date: Date of the record
  • + Add another record: Create multiple records in one session

Three dots menu options in every record:

Editing a Record

Click the edit icon (pencil) in the Actions column of any record entry. The same modal opens with all fields pre-filled. Make your changes and click Save.

Deleting a Record

Click the delete icon (trash) in the Actions column. A confirmation prompt appears. Once confirmed, the record is permanently removed.

Export a Record

Download a record by clicking on the export button

Warning: Deleting a record cannot be undone. If a record was created in error, consider editing it to add a correction note rather than deleting the clinical history entirely.

What to do if something goes wrong?

Records not appearing: Check that your filter is set to “All” and the date range covers the period you expect. A type filter or narrow date range can hide records you’re looking for.

Wrong provider listed: The “Added by” field reflects who was logged in when the record was created. If a different vet dictated the note, edit the record and change the Provider field.

Record appears on the wrong patient: This happens when records are created from the wrong patient context. Create the correct record on the right patient profile, then delete the mistaken entry.

SOAP headings not showing: SOAP structure only appears if you used SOAP formatting in the editor (or if the AI dictation produced it). Plain text notes display as written without headings.
