Documents and Attachments

Every client, patient, and entity profile in viggoVet has a Documents & Attachments tab. This is where you generate official paperwork (consent forms, discharge summaries, vaccination certificates) and store uploaded files like lab results, referral letters, or photos. Documents are created from templates that pull data straight from the system, so you never have to type out the same client address or patient details twice.

Where to find documents and attachments?

Open any client, patient, or entity profile and click the Documents & Attachments tab. The page is split into two sections: Documents on top, Attachments below.

Viewing Existing Documents

The Documents section shows a table with the following columns:

Use the Sort By dropdown to reorder the list, or type in the Search field to filter by document name.

Creating a New Document

  1. Click on the “+ create new” button at the top right corner of the documents section
  2. Select the document template from the dropdown
  3. The document generates automatically with the patient’s or client’s information
  4. Review the document in the preview window to revise the document’s information
  5. Click on “create” to generate the document or “cancel” to discard

The new document appears in your documents table immediately after creation.

How templates work

Document templates are configured in Settings > Configurations > Document Templates by your clinic admin. Each template includes:

  • Placeholder variables in curly braces that get auto-filled from system data (client name, patient breed, clinic phone number, etc.)
  • A Related to setting that controls where the template appears (patient documents only, client documents only, or both)
  • An Act as setting that determines the document type it creates

You do not need to configure templates to create documents. You only need to select the right template and fill in any custom fields that appear.

Tip: If the template you need isn’t in the dropdown, ask your clinic admin to check the template’s “Related to” setting. A template configured for patients only will not appear on a client’s Documents tab, and vice versa.

Attachments

Viewing Existing Attachments

The Attachments section sits below Documents on the same tab. Files appear as cards showing an icon or thumbnail with the filename underneath. Use the Created At sort and Ascending toggle to reorder them.

When no attachments exist yet, you’ll see an illustration with the message “Nothing to Show Yet!”

Uploading an Attachment

  1. Click the Upload button in the bottom right corner of the Attachments section.
  2. Select a file from your computer.
  3. The file uploads and appears as a new card in the attachments area.

Maximum file size: 45 MB per file.

If you need to upload a file larger than 45 MB, consider compressing it first or splitting it into multiple files.

What to do if something goes wrong?

Template dropdown is empty: The clinic admin has not created any templates for this context yet. Go to Settings > Configurations > Document Templates to add one, or ask your admin for help.

A template you expect is missing: Check the template’s “Related to” setting. If you’re on a patient profile but the template is set to “Client” only, it won’t appear. Adjust the setting to include patients, or create the document from the client’s profile instead.

Custom fields are not clear: Custom fields in the modal depend on how the template was built. If the placeholder text doesn’t explain what to enter, check with your clinic admin who configured the template.

Upload fails with a size error: Your file exceeds the 500 KB limit. Compress images or PDFs before uploading. For high-resolution X-rays or scans, reduce the file dimensions or quality.

Wrong file type error: Check that your file extension matches one of the supported formats listed above. Rename the file if the extension is unusual (e.g., change .jpeg2000 to a supported format after converting).

Document preview looks wrong: The preview reflects exactly what the template produces. If variables are missing or incorrect, the patient or client record may be incomplete. Go back and fill in the missing information (breed, microchip number, address), then try creating the document again.
