Searching for Clients and Patients

Before you can book an appointment, create an invoice, or review a medical record, you need to find the right client or patient. viggoVet gives you several ways to search, depending on what you know and where you are in the platform.
Info: viggoVet uses the client’s email as the primary identifier, so when registering a new client, if the email address matches an existing client, you will be notified and you will not be able to add a new client with the same email address.
Client list
For browsing, filtering, or when you need to see multiple clients at once.
- Click Clients in the main sidebar (under the ACCOUNTS section).
- You can view a client’s page by clicking on their name
The client list shows all clients in a table with a statistics bar at the top displaying totals.

Filtering clients
- By status. Use the filter tabs above the table:
Sub-tab | What it shows |

- By search. The search field above the table searches across name, email, phone number, and client ID.
Patient list
For browsing patients across all clients, with filters by status.
- Click Patients in the main sidebar (under the ACCOUNTS section).
- Click on a patient’s name to view their page
The patient list shows all patients with a statistics bar at the top

Filtering patients
- By status. Four filter tabs at the top:
Tab | What it shows |

Deceased patients | Only deceased patients |
- By search. The search field above the table searches across patient name, chip number, and patient ID.
Finding a patient from a client profile
If you already have the client’s profile open:
- Click the Patients tab on the client’s profile.
- You’ll see patient cards for each pet linked to this client, with name, species, breed, and status badge.
- Click a patient card to open their record.
This is the fastest path when you know the owner but need to find a specific pet.
Finding a patient from the calendar
If you know the patient has an appointment:
- Click Calendar in the left sidebar (under the DASHBOARD section).
- Find the appointment on the schedule.
- Click the appointment block to see the detail popup. The popup shows client’s name, patient’s name, breed, species, and provider.

What to do if something goes wrong
Client or patient not found: Check your spelling. Try a partial name (first few letters). If you’re in a multi-clinic account, make sure you’re viewing the correct clinic (check the clinic selector in the top bar). The client may be Inactive, so check the Inactive Clients tab on the client list.
Search returns too many results: Add more detail to your search term. Include a last name, phone number, or chip number to narrow results.
Inactive patient needed for booking: Inactive and Deceased patients don’t appear in appointment booking search. Change the patient’s status back to Active through their profile before scheduling.
