Managing Your Calendar

The viggoVet calendar is your daily command center for appointments. This guide covers how to use the different views, filter your schedule, and stay on top of what’s happening across your clinic.
Calendar layout
Click Calendar in the main sidebar (under the DASHBOARD section) to open the calendar.
The calendar page has several controls across the top:
- Visual calendar or written agenda views
- Filter tabs: Switch between All Appointment, Active Appointment, and Cancelled Appointment
- Left and right arrows to switch between days
- Time Scale selector: Adjust the time grid granularity (e.g., 5 M, 15 M, 30 M)
- Show By dropdown: Switch between Provider and Category
- Categories dropdown: Filter to show specific appointment categories (defaults to All Categories)
- View appointments per days, weeks or a month
- + Create Appointment button: Create a new appointment
Calendar views
Provider view
Shows each provider as a column across the top. Time slots run down the left side. White areas show when a provider is available (based on their staff schedule). Hatched/striped areas show off-hours when the provider isn’t scheduled to work.
A dark red horizontal line marks the current time, so you can see at a glance where you are in the day.
This view is ideal for finding who’s free at a given time.
Week view
Seven days in a grid (Sun through Sat). Appointments show as blocks in the time slots for each day. Good for spotting scheduling gaps and planning ahead.
Month view
Full month at a glance in a traditional calendar grid. Each day shows its appointments as small cards with time, category, and patient name. Click a day to drill down.
Agenda view
A list view grouped by date. Each appointment shows as a card with: time, duration, category name, patient name (and owner), and a status badge (e.g., “NOT CONFIRMED”, “CHECKED IN”, “CLIENT BOOKING”).
This view is useful for scanning a date range quickly without the grid layout.
Time scale
The time scale controls how fine-grained the time grid is in Provider and Category views. Click the Time Scale value (e.g., “15 M”) to switch between options:
- 5 M (5 minutes): Very detailed, for clinics with short appointments
- 15 M (15 minutes): Standard for most practices
- 30 M (30 minutes): Less visual clutter, good for longer appointment types
Filtering your calendar
By appointment status
Use the filter tabs to focus on what matters:
Tab | What it shows |

All appointments | Every appointment, regardless of status |
Active appointments | Only non-cancelled appointments |
Cancelled appointments | Only cancelled appointments |
By category
Use the Categories dropdown to filter the calendar to specific appointment types. Set it to All Categories to see everything.
Online booking appointments
Appointments booked by clients through the online booking portal appear on the calendar with the CLIENT BOOKING status badge (dark/purple). These appointments show in the Online Booking list for your team to confirm or take action. Once confirmed, they appear in the calendar in whichever category column your admin has configured.
Note: Online booking is included in every plan. Which appointment categories are available for online booking is controlled in your clinic’s Configurations.
What to do if something goes wrong
Calendar appears empty: Check the Categories dropdown. You may be filtering to a category with no appointments. Reset to All Categories to see everything. Also check you’re on the correct date using the TODAY button.
Appointments overlap: viggoVet allows overlapping appointments in the same category. If you see conflicts, edit one appointment to a different time or provider.
Can’t find a specific appointment: Try the All Appointment tab to include cancelled appointments in the view. You can also use global search to find an appointment by client or patient name.
Provider column shows all hatched/striped: That provider has no scheduled working hours for that day. Check their staff schedule in Configurations.
