Recording a Payment

After creating an invoice, the next step is recording the payment. viggoVet supports full payments, partial payments, and split payments across multiple methods. This guide covers each scenario.
This feature is available on the full platform tier.
When to record a payment
Record a payment when a client pays their invoice, whether at checkout, over the phone, or at a later time. You can record payments against Open or Closed invoices that have an outstanding balance.
Opening the payment modal
There are two ways to get to the payment screen:
During invoice creation: Click Pay Now on the bottom right when creating an invoice. viggoVet saves the invoice and immediately opens the payment modal.
From an existing invoice:
- Click Invoices in the left sidebar (under the FINANCIAL section).
- Open the invoice from the list.
- Click the Pay action on the invoice page.

At the top of the modal you’ll see:
- Total Payments [amount] USD: the total invoice amount
- There is a client credit of [amount] USD: any existing credit on the client’s account
Each payment entry (Payment #1, Payment #2, etc.) has these fields:

Paying by | The payment method (Cash, Credit Card, Bank Transfer, etc. based on your clinic’s configured methods) |

+ Add note | Click to add a note to this payment entry |
Client credit | Toggle to pay using the client’s existing credit balance instead of a payment method |
+ Add more payment | This option allows you to add more than one payment on the same invoice |
When you click on + Add more payment, it will show the same details for any payment, and will add up to the total remaining amount in the invoice
Each payment entry also has a trash icon to delete it if you added one by mistake.
At the bottom, the Remaining indicator shows how much is still unpaid. When it shows “Remaining: 0” the invoice is fully covered.
Recording a full payment
- The Amount field defaults to the full outstanding balance.
- Select the Paying By method from the dropdown (Cash, Credit Card, etc.).
- The Due date defaults to today.
- Click Save.
viggoVet records the payment and updates the invoice status.
Recording a partial payment
If the client is paying part of the balance:
- Change the Amount to the partial payment amount.
- Select the Paying By method.
- Click Save.
The invoice stays with a reduced outstanding balance. The Remaining indicator shows what’s still owed.
Split payments (multiple methods)
If the client wants to pay with multiple methods (e.g., part card, part cash):
- Fill in the first payment entry with the first method and amount.
- Click + Add More Payment at the bottom of the modal. A new Payment #2 entry appears.
- Fill in the second payment with the second method and remaining amount.
- Add more entries if needed.
- When “Remaining: 0” shows at the bottom, click Save.
Each payment entry is logged separately.
Paying with client credit
If the client has credit on their account (shown at the top of the modal), you can apply it:
- Toggle on Client Credit on a payment entry.
- The payment method changes to use the client’s credit balance.
- The amount applies from the available credit.
You can combine credit with other payment methods by adding another payment entry for the remaining amount.
What to do if something goes wrong
Payment recorded with wrong amount: If the payment hasn’t been finalized, delete it and create a new one with the correct amount.
Wrong payment method selected: Delete the incorrect payment entry and add a new one with the right method.
Client has credit they want to use: Toggle the Client Credit switch on the payment entry to apply available credits.
Invoice shows paid but client didn’t pay: Check the payment history on the invoice. If an incorrect payment exists, delete it to restore the outstanding balance.
