AI Voice Dictation (AI Scribe)

The AI Scribe lets veterinarians dictate medical notes by voice instead of typing. Press the ViggoVet AI Medical Note Dictation button while adding a record, speak naturally about your findings and assessment, and the AI generates a complete structured medical note based on your clinic’s SOAP template. This eliminates the need to type during or after consultations, letting you focus entirely on the patient.
Accessing AI Voice Dictation
- Open any patient’s profile
- Under the “overview” tab, click on “add record” on the top right
- A sub-page will appear for adding a new record
- From the “record type” dropdown, choose “medical note”
- The AI Voice Dictation feature appears as the “AI Record” button
How to use the AI Scribe
Step 1: Set up the record
On the Add Record page, fill in the header fields:

Date | Automatically set to today (can be changed) |
Step 2: Start dictation
Click the ViggoVet AI Medical Note Dictation button. The dictation interface activates showing:
- An audio waveform visualization
- A recording timer (showing elapsed time like 00:00 / 00:10)
- A Pause button (two vertical bars icon)
- A Complete button (checkmark icon)
The system is now listening. Speak naturally about the consultation.
Step 3: Dictate your findings
Speak as you would explain the case to a colleague. Cover:
- Why the owner brought the patient in (subjective)
- What you observed during examination (objective)
- Your diagnosis or differential diagnoses (assessment)
- Your treatment plan and recommendations (plan)
You do not need to say “subjective” or “objective” out loud. The AI understands medical context and organizes your speech into the correct SOAP sections automatically.
Step 4: Complete the dictation
When finished speaking:
- Click the Complete button (checkmark icon).
- The AI processes your audio.
- Structured SOAP notes appear in the rich text editor below, formatted according to your clinic’s medical note template.
Step 5: Review and save
- Review the generated notes in the editor.
- Edit any details if needed (the editor is fully editable).
- Click Save to save the record.
Tips for better AI dictation results

State your diagnosis explicitly | “My assessment is mild gastroenteritis” helps the AI place it correctly |
Describe treatments with dosages | “Prescribing metronidazole 15 mg per kg twice daily for 7 days” |
Pause between sections if needed | Use the pause button for interruptions, then resume |
What the AI generates
The AI takes your spoken words and produces a formatted medical note following your clinic’s template structure. A typical output includes:
SUBJECTIVE:
- Chief complaint and history from the owner’s perspective
- Duration and progression of symptoms
OBJECTIVE:
- Physical examination findings
- Vital signs mentioned during dictation
- Any diagnostic results referenced
ASSESSMENT:
- Diagnosis or differential diagnoses
- Clinical reasoning
PLAN:
- Treatment prescribed
- Medications with dosages
- Follow-up instructions
- Client education points
What to do if something goes wrong
Dictation button not appearing: Make sure the Record type is set to “Medical Note”. The AI Scribe is available for medical note records.
Audio not recording: Check that your browser has microphone permission for the viggoVet application. Most browsers show a microphone icon in the address bar where you can grant access.
Generated note missing sections: The AI can only structure information you provide. If you did not mention assessment or plan during dictation, those sections may be sparse. You can always edit the generated text manually.
Note quality seems low: Speak more slowly and clearly. Background noise (barking, equipment) can affect transcription. Consider dictating in a quieter area.
Need to restart dictation: If you are unhappy with a recording in progress, click pause, then start over. The generated text is always editable before saving.
