Reports Overview

The Reports module gives you insight into every area of your clinic’s operations. Financial summaries, invoice breakdowns, expense tracking, inventory movement, patient statistics, appointment analysis, and staff performance are all available as configurable reports that you can filter, view on screen, and export.

Accessing reports

Click Reports in the left sidebar under the OPERATIONS section. The Reports page opens showing report cards organized by category tabs.

Report categories

The page has seven category tabs across the top:

Each tab shows report cards with the report name and a brief description of what it contains.

Financial reports

End of day report

All transactions including invoices, payments, and credits for a date based on invoice items

Financial report

All transactions including invoices, payments, and credits for a date range based on invoice items

Client financial report

All transactions including invoices, payments, and credits for a specific client based on invoice items

Payment report

Payment details, credits, and invoices for a selected time period

Sales by item report

Total sales for each inventory item for a selected time period

Sales by item categories report

Total sales grouped by item category for a selected time period

Sales taxes report

Sales tax collected by jurisdiction for a selected time period

Clients report

Detailed client financials including proforma, open, closed invoices, payments, and credits

Client retention report

Track client retention through their appointments, invoices, vaccines and other services

Revenue growth report

Monthly clinic revenue with month over month and year over year growth

Cash flow report

Monthly cash inflow (payments) versus outflow (expenses and purchases)

Receivable report

Total amounts currently past due and how far past due they are

Receivable entity report

Total amounts that are currently past due for enteties

Sales by provider report

Each provider’s sales count and amount

Purchases report

All purchases for a selected time period

Expenses report

All expenses for a selected time period

Suppliers report

How much you purchased from each supplier

Markup report

Profit margins and pricing strategies across consumable items

Slow moving items report

Consumable items with low, no, or stagnant sales over the past 180 days, divided into two consecutive 90-day periods

All clients with birthdays in a selected time period

Running a report

  1. Click on any report card to open it.
  2. The report configuration page loads.

Configuration options

Every report has:

  • Date range picker: Set the start and end dates (with a TODAY button for quick selection)
  • State filter (where applicable): Dropdown to filter by status (All, Open, Closed, etc.)
  • Apply button: Generates the report with your selected filters

Exporting reports

Every report can be exported in three formats:

These buttons appear at the top of the report results after you click Apply.

What to do if something goes wrong

Report shows zero results: Check the date range. Make sure your start date is before the end date and that transactions exist in that period. Also check the State filter if one is available.

Numbers don’t match your expectations: Reports are based on invoice dates, not payment dates. A payment recorded today for a January invoice may appear in the January period in some reports. Check which date field the specific report uses.

Cannot find a specific report type: Check all category tabs. Some reports appear under multiple tabs (like Financial Report appearing under both Financial and Invoices).

Export not working: Try a different format. If PDF fails, try Excel. Also check that your browser allows downloads from the application.

Slow Moving Items report showing wrong data: This report uses a 180-day lookback from today, split into two 90-day periods. It only includes consumable items. Services and bundles are excluded.
