Inventory Overview

The Inventory module tracks everything your clinic sells or dispenses: medications, consumables, services, and bundles. Each item has its own price, tax configuration, stock level, and alert thresholds. The Inventory List gives you a live view of what is in stock, what is running low, and what needs attention.
Accessing the inventory
Click Inventory in the main sidebar under the OPERATIONS section. The Inventory List page opens.

Filter tabs

Expired items | Items past their expiration date |

Status alerts
Items display visual warnings when stock levels are concerning:
- Low stock items appear in the Low Stock Consumable Items tab
- Near expiry items appear in the Near Expried Items tab
- Expired items appear in the Expired Items tab
These alerts help you reorder before running out or remove expired products from availability.
Adjusting stock quantity
Click the adjust icon on any consumable item:
- The Adjust Item modal opens.
- It shows the Current stock field with the current value and unit (e.g., “134 Unit(s)”).
- Change the number to the correct stock level.
- Click Submit.
Use this for manual stock corrections after a physical count or when you notice a discrepancy.
Item types
Consumable items
Physical products tracked by stock level:
- Medications (tablets, injections, oral suspensions)
- Medical supplies (syringes, bandages, IV sets)
- Food products
- Any product that depletes when dispensed
Consumable items decrease in stock when added to invoices and increase when purchases are received.
Service items
Non-physical items that do not have stock levels:
- Consultations
- Surgeries
- Diagnostic procedures
- Grooming services
- Boarding stays
Service items can be added to invoices like consumables but have no quantity tracking.
Bundle items
Pre-configured groups that contain multiple items billed together:
- Wellness packages (consultation + vaccine + deworming)
- Surgery bundles (procedure + anesthesia + follow-up)
- New puppy packages
Bundles have a combined price and let you include or exclude individual items per invoice.
What to do if something goes wrong
Item not appearing in invoice creation: Check the item’s status. It must be active and configured for the clinic branch you are working in.
Stock showing wrong number: Use the Adjust qty action to correct it manually. Then investigate whether the discrepancy came from an unrecorded dispense or a missed purchase.
Expired items still available for invoicing: Expired items still appear in the item dropdown during invoice creation. Your team should check the Expired Items tab regularly and either remove expired stock or extend expiry dates if appropriate.
Bundle price not matching expected total: Bundles can have a custom price that overrides the sum of included items. Check the bundle configuration in Settings.
